Account administrators have the ability to customize the home page using folders. There are four default folders available:
- All Surveys - This folder includes all surveys that are not deleted or archived. Surveys moved to folders you create will still show in the list of all surveys.
- Recent - This includes the five most recently modified surveys.
- Deleted - This folder includes all surveys that have been deleted. Surveys can be deleted either by clicking the ellipsis and selecting Delete Survey in the list view, clicking the red x on the far right of the table view, or by dragging and dropping the survey in the Deleted folder. You can access and restore any deleted survey from within this folder.
- Archived - This folder includes all surveys that have been archived. Surveys can be archived by dragging and dropping the survey to the Archived folder. Once a survey is Archived, it is removed from the All Surveys list and must be restored to access it. You can restore any archived survey from within this folder by clicking the circular arrow.
The last viewed folder will be saved for your next log in.
What's the Difference Between Deleted Surveys and Archived Surveys?
Deleted surveys and archived surveys have several things in common.
- The do not display in the All Projects list or in any other folder.
- The can be restored if necessary.
- Neither project will be permanently deleted with out an administrative user submitting a request.
There are also some differences.
- Application access - When clicked from their respective folder on the Dashboard deleted surveys can be viewed on the Build tab, however, archived must be restored in order to review them.
- Share link behavior - Share links from deleted surveys will show a survey-not-found page. Share links from archived surveys will continue to work as their survey status specifies (open v closed).
Create and Customize Folders
Account administrators and Editors have the ability to create and customize folders. Simply click New Folder, customize the name and click Add. Then drag and drop your surveys to start organizing your dashboard. You cannot drag one folder into another.
Adding Subfolders
You can also add subfolders by clicking the green plus icon to the right of any folder.
Deleting Folders
The option to delete folders is restricted to Account Administrators only. Contact your account administrator if you'd like to delete a folder.
Giving Users Permission to Organize Surveys in Folders
Permission to organize surveys in folder is restricted to account administrators and survey Editors by default. If you wish to have the ability to organize your surveys in folders and customize folders you can have your account administrator customize your permissions to allow you to do so.
Here's how! Go to Account > User Management > Users and find the user you are modifying. Click on the user and make note of their current roles for each team that they are on; we will be using this to create a new custom role.
Next go to Users > Roles. We're going to add a new role. Instead of clicking the Add Role button, we're going to copy the user's existing role as this brings along all their current permissions. So, from our above example, our Documentation user was and Publisher so we'll click the copy to start with those permissions.
On the General tab give your new custom role a meaningful name and description.
On the Permissions tab, scroll to the miscellaneous permissions and check the option to Create/Modify Folders and Save Role.
Now just go back to the User tab. Edit the user to change the user's role to the new custom role you just created!

@Aurea Marketing: Thank you so much for your question!
Thanks for the feedback on Folders. I have passed this along to our product team for additional improvements to the dashboard. It is important that we hear this type of feedback, so that we can gear changes that best reflect our users’ needs. We will certainly reach out as changes are made to folders.
Thank you!

Hello, it looks like SG users have been asking for folder improvements since 2015. When will you have folder improvements on your roadmap? It would be great if you could 1) organize the archive folder into sub folders and 2) move surveys from the "all survey" list to folders and display them there vs having them in the all surveys list. The all surveys list is far too cluttered. Please let us know when these improvements will be made.

@Jlubbers: Thank you for your question!
I'm afraid that there is not a way to assign permission to access a folder for a specific team/user.
All folders that have been created are accessible to all users. However, users can only access surveys in those folders that are on the same Team(s) as the users.
I hope this helps clarify!

How do I assign permission to access a folder at either the team or user level?

@Becca: Thank you for your question!
I’m afraid that the Home Page does not currently offer a view to see only surveys that have not been added to a folder. Currently, you can view either all surveys or surveys within a specific folder.
This is certainly something that I can note to our Product team as a potential future improvement.
I’m sorry for the trouble!

Is there a way to view only surveys that have not been added to a folder?

@Cos: Thank you for taking the time to share this feedback with us!
I'm sorry for the trouble with the current survey foldering options.
While we do not have foldering improvements in our immediate plans, I will note your feedback with our Product team for future consideration.
Thank you again for reaching out!

We use SurveyGuizmo for a lot of different concurrent and long-term projects and are finding the All Surveys folder very cluttered. It would be useful if we could create subfolders within the All Surveys and Archived folders. Or alternatively, for surveys that have been moved to a custom folder not to show up under All Surveys.

Will we ever be able to move folders into other folders? We'd like to organize our surveys.

@Christina: Thank you for your note!
I will alert our Development Team of this issue. In the meantime, I have found that using your iPad in landscape mode does allow you to work around this issue.
I hope this helps!
Thank you again for this information!

On the mobile/app view on an iPad the "create new survey" button is on top of the "all surveys" option....so I cannot view all

@Ed: It looks like when we create the survey we copy the template's folder into the survey. I can see, based on what you describe, how you wouldn't want it to work like this. I'll pass this along to our development team to consider as a future improvement!
Thanks for your feedback!

Why, when I create a survey using a custom template, does the created survey show up in the folder that contains the template? I want to keep the custom templates segregated to their own template.

@Fdunn: Thank you for this feedback! As of right now adding bulk foldering functionality has not been slated for development. I will see what I can do to get this prioritized with our development team!

Hi, I'd just like to add my support for the idea of being able to move surveys in bulk into the archive folder. Sooner rather than later if possible! thanks

We organize surveys in groups and year. Each Folder can contain up to 50 surveys and what I can understand we have to drag and drop the surveys one at a time if we want to archive them. We would very much prefer to just move the entire folder.

@Web: I vaguely recall this setting and confirm that it is no longer there. I'll be sure to let the development team know that this is missed. I will also let them know about your idea for the bulk edit functionality for the management of surveys!

There used to be a place in the survey settings to list the folder where it should be located. Did that go away? Is there a bulk edit functionality for cleaning up the surveys? Especially for archiving, since I have never archived any surveys yet and we have 4 + years of surveys.
